Return, RMA & Cancellation Policy

This policy forms part of AIT's Standard Terms of Sale and should be read alongside them. If anything in this policy conflicts with the Standard Terms of Sale, the Standard Terms of Sale control.
Custom and Made-to-Order Goods Cannot Be Returned or Cancelled
Goods built to a customer's specification, drawing, or configuration — including custom fiberscopes, borescopes, small-diameter optical assemblies, and modified or integrated systems — are NON-CANCELLABLE AND NON-RETURNABLE once AIT issues its order acknowledgment.
Custom orders require a non-refundable deposit of fifty percent (50%) of order value before AIT begins design or procurement (see Payment & Credit Policy). If a custom order is cancelled, suspended, or delayed by the customer for any reason, the customer remains liable for completed units, work in process, committed materials and long-lead components, and a fifteen percent (15%) administrative charge. Standard Returns
If you determine that equipment purchased does not meet your requirements, you may request a return within five (5) business days after the date the carrier records delivery. All returns and order cancellations are subject to approval at AIT's sole discretion.
A return request does not itself create a right to return. Approved standard returns are subject to a restocking charge of twenty percent (20%) of the net purchase price, or the higher non-recoverable restocking or cancellation charge AIT's manufacturer or supplier imposes, if AIT discloses that charge when the RMA is issued. AIT may also deduct the reasonable cost of missing components, damaged packaging, cleaning, testing, reconditioning, or repair required to restore an otherwise eligible item to new and resalable condition, and may reject a return whose condition makes resale as new impracticable.
Refunds are issued in the same form of payment tendered at purchase unless otherwise stated; see our Payment & Credit Policy for accepted methods. Refunds are issued after AIT receives and inspects the returned goods and confirms compliance with the RMA conditions. Processing time by a bank or card issuer is outside AIT's control.
No Return or Exchange On
- Custom equipment and small-diameter fiberscopes
- Used, refurbished, and B-stock equipment
- Goods that have been installed, altered, contaminated, damaged, or used and are no longer in new and resalable condition
- Consumables and expendable items
- Activated software or license keys
- Training
- Repair or other services already performed
- Goods otherwise identified as non-returnable in AIT's quotation or order acknowledgment
How to Return an Item
All returns must be pre-authorized and must carry a valid RMA number. Items sent without authorization may be refused or returned at the customer's expense.

- Place the original package inside a shipping carton. Do not place stickers or shipping labels on the original manufacturer's packaging.
- Write the RMA number clearly on the outer box. If a label was emailed to you, print it and affix it to the carton.
- RMA numbers are valid for ten (10) days.
- Ship via insured ground service with tracking.

Return Shipping Is at the Customer's Risk
The customer is responsible for properly packaging returned merchandise and for all return shipping charges unless otherwise agreed in writing. AIT is not responsible for loss or damage occurring during return shipping. We recommend a trackable and insured method for all returned merchandise.
Condition of Returned Items
- All returned or exchanged items must be in new condition, in their original box, with all packing material, blank warranty cards, manuals, and accessories.
- AIT is not responsible for personal data, media, or items left in returned merchandise.
- Defective items may be repaired or exchanged at AIT's discretion for the same model or the manufacturer's equivalent model.
Contaminated or Activated Equipment
Do not return, ship, or deliver to AIT any equipment that is radiologically contaminated or activated, or that has been used in conditions under which it may have become contaminated or activated, without AIT's prior written authorization and a written statement of the equipment's radiological status. AIT may refuse receipt of, quarantine, or return at the customer's expense any equipment delivered in breach of this section. The customer is responsible for decontamination and for all costs, fees, penalties, survey charges, and disposal charges AIT incurs, and for compliance with all applicable transport and licensing requirements. Equipment that cannot be decontaminated to AIT's satisfaction is non-returnable and non-serviceable, and the customer shall reimburse AIT for its disposal.
Defective Goods
Goods alleged to be defective are evaluated under AIT's Warranty Policy rather than under the discretionary standard-return provisions of this Policy. Transit loss, visible transit damage, shipment shortage, and shipment of an incorrect item are not warranty defects and are handled under the section below and AIT's Shipping & Delivery Policy.
Transit Damage and Shipping Discrepancies
Claims that AIT shipped the wrong item or an incorrect quantity must be made in writing within five (5) business days of receipt, or they are waived.
Loss or damage in transit on an outbound shipment is not a return matter. Because all sales are FOB Origin, risk of loss passes to the customer when goods are tendered to the carrier, and any claim for transit loss or damage is the customer's claim against the carrier. Limitation
AIT is not responsible for any consequential or incidental damage resulting from the sale or use of any merchandise purchased from us. AIT's liability is limited to the amount paid for the specific goods giving rise to the claim. See Section 13 of the Standard Terms of Sale.
